Administrator and Volunteer Coordinator at Napper Centre
Role Description
Napper Centre is seeking a detail-oriented and community-minded Administrator and Volunteer Coordinator to support the day-to-day running of the Napper Centre and to manage our valued team of volunteers.
As Administrator, you will be responsible for managing bookings for the Napper Centre, liaising with partner organisations, ensuring rooms and equipment are available, being present on-site as necessary, and sending out invoices.
This varied role would include updating and maintaining the volunteer database, matching volunteers to opportunities that suit their skills, communicating regularly with volunteers, and conveying the organisation’s purpose to the public.
The successful candidate will be highly organised, meticulous about record keeping, confident communicating with a wide range of people, and passionate about the role of heritage and wellbeing within the local community. You will represent the values of Cranleigh Heritage Trust and play an important role in creating a welcoming environment for volunteers, visitors, and service users.
The role is part-time, working 20 hours per week across 5 days from 08:30. It will be based at the Napper Centre in Cranleigh and is a fixed term contract for 12 months, with the possibility for extension. The Administrator and Volunteer Coordinator will report to the Heritage Manager.
Salary: £18 per hour.
Responsibilities
- Day-to-day administrative duties to ensure the smooth running of the Napper Centre
- Manage room bookings and invoicing for hire spaces
- Support partner organisations and visitors to ensure a positive experience
- Maintain accurate volunteer records, including availability, interests, and skills
- Match volunteers to suitable opportunities that suit their skill sets and support volunteer induction and training
- Keep volunteers informed about activities, events, and opportunities
- Maintain volunteer schedules and records of work
- Act as the on-site representative for Cranleigh Heritage Trust and help communicate the purpose of the Napper Centre to visitors and the wider community
- Support the promotion of events and community engagement activities
- Work closely with service users to help ensure heritage activities are welcoming and inclusive
- Undertake all duties with regard to health and safety for staff, volunteers, and visitors.
Essential skills and experience
- Good IT and administrative skills
- Strong organisational skills
- Excellent communication and interpersonal skills
- Working knowledge of databases or record-management systems
- Confident using social media
- Interest in local heritage and community engagement
Desirable
- Experience working in the heritage, charity, wellbeing, or community sector
- Experience working with volunteers, community groups, or the public
- Experience managing events
